Our services are used by individuals and businesses. This notice applies to our website and services, including the tools used to create and share event plans.

Information we collect

Depending on how you use the services, we may process the following categories of information:

  • Account and contact information, such as your name, email address, company details and account credentials.

  • Project, event and guest data that you or your organisation upload, including event details, layouts, seating information and guest information.

  • Support and communications, including messages, requests and records of our correspondence with you.

  • Payment and invoicing metadata, such as plan, amount, date, invoice and transaction details. When Stripe processes a payment, Interactiva does not store full payment-card details.

  • Technical and security logs, such as device, browser, IP address and service activity information where needed to operate and protect the services.

  • Analytics and cookie data, where you have given consent for non-essential analytics.

  • Marketing preferences and records of consent, withdrawal or suppression where needed to respect your choices.

Guest information uploaded by customers

If you upload guest information, you must have the authority to provide it and to instruct us to process it. We process that information on your behalf to supply the service. You are responsible for providing any notices and obtaining any permissions required for your use of guest information.

How we use information and our lawful bases

We use information to provide, secure and support the services, manage accounts and projects, process payments and invoices, communicate with you, improve the services, meet legal obligations and send permitted marketing. Our Article 6 lawful bases are:

  • Contract, where processing is needed to provide the services or take steps at your request before entering a contract.

  • Legal obligation, where processing is needed to comply with accounting, tax, legal or regulatory requirements.

  • Legitimate interests, where our interests or those of a third party are balanced against your rights and expectations, including service security, support and improvement.

  • Consent, where it is required, including for non-essential analytics and certain marketing communications.

Who we share information with

We share information only as appropriate for the purposes above and with suitable safeguards. Recipient categories include Stripe and other payment or invoicing providers, Google Analytics when valid consent has been given, hosting and IT providers, professional advisers, and courts, regulators or public authorities where required or permitted by law.

Some recipients may process information outside the UK. Where an international transfer applies, we use a recognised UK safeguard or another lawful transfer mechanism and take reasonable steps to protect the information.

Marketing communications

We may occasionally send promotional emails directly. Marketing to individuals is sent only with consent or where the UK customer soft opt-in applies. We identify Interactiva in our marketing, provide a simple opt-out in every marketing email and honour withdrawals. We keep only a minimal suppression record where needed to prevent further marketing.

Retention

Account, project and guest data are retained while the account is active. When you delete the account, the projects and guest data associated with it are deleted, except for limited information retained where required by law, for security or disputes, or temporarily in normal backups. We do not promise a fixed backup deletion period.

Necessary invoices, contracts and transaction records may be retained for six years after the relevant financial year or legal relationship, as needed to meet UK accounting, tax and legal obligations. We retain a minimal marketing suppression record where necessary.

Security

We use proportionate steps intended to protect personal information from loss, misuse and unauthorised access, alteration or disclosure. No internet or email transmission can be guaranteed to be completely secure.

Your UK data rights

Subject to legal conditions and exemptions, you may have rights to access, correct, erase or restrict use of your personal data, object to certain processing, receive a copy of data you provided, and withdraw consent where processing relies on consent. You can exercise these rights by contacting info@interactiva.design.

Cookies and analytics

Essential cookies support core operation and security. Google Analytics is non-essential and must remain disabled until valid consent. For more information and to manage choices, read our Cookie Policy.

Children

The services are not intended for people under 16. We do not knowingly invite people under 16 to use the services or submit personal information.
